These Terms & Conditions govern all bookings made with Women's Trek Nepal ("we", "us", "our"). By confirming a booking and making payment, you acknowledge that you have read, understood, and agree to be bound by these terms.
1. Booking & Payments
A booking is confirmed only after we receive a completed booking request and the required deposit or full payment, as specified for your trip.
Deposits are generally non-refundable unless otherwise stated in your specific trip information.
The remaining balance (if applicable) must be paid within the timeline we provide before trip departure. Failure to do so may result in cancellation of your booking.
2. Cancellations & Refunds
If you need to cancel your trip, you must notify us in writing (email is acceptable). The date we receive your written notice will be used to apply our cancellation policy.
Cancellation fees may vary depending on how many days before departure you cancel and the specific services booked (e.g., flights, permits, hotels).
Certain fees such as permits, domestic flights, and third-party bookings may be non-refundable as per the supplier's policies.
We strongly recommend comprehensive travel insurance that covers trip cancellation, interruption, and medical emergencies.
3. Health, Fitness & Insurance
It is your responsibility to ensure that you are physically and mentally fit for the chosen trip and activities (trekking, climbing, rafting, paragliding, etc.).
You must inform us of any medical conditions, allergies, or special needs at the time of booking.
You are required to have valid travel insurance that covers high-altitude trekking, emergency evacuation, medical treatment, and repatriation where applicable.
4. Itineraries & Changes
All itineraries are given as a general guide and may be subject to change due to weather conditions, safety concerns, local regulations, or other unforeseen circumstances.
Our guides and staff have the authority to make necessary changes in the field to safeguard your health, safety, and overall experience.
Additional costs arising from changes beyond our control (e.g., flight delays, natural disasters, political events) are the responsibility of the traveler.
5. Responsibilities & Liability
We are committed to providing safe, ethical, and responsible travel experiences, but adventure travel carries inherent risks.
By joining our trips, you accept all associated risks including, but not limited to, altitude sickness, accidents, natural hazards, and travel disruptions.
To the fullest extent permitted by law, Women's Trek Nepal is not liable for any loss, damage, injury, or expense resulting from circumstances beyond our direct control.
6. Code of Conduct
We expect all travelers to show respect for local culture, customs, wildlife, and the natural environment.
Harassment, discrimination, or behavior that endangers others or disrupts the trip may result in your removal from the tour without refund.
7. Privacy
We respect your privacy. Personal information collected during the booking process is used only for organizing your trip and related services, in line with our privacy practices and applicable regulations.
8. Governing Law
These Terms & Conditions are governed by the laws of Nepal. Any disputes arising from or in connection with our services shall be subject to the jurisdiction of the relevant courts in Nepal.
